When running an expanding business, keeping your employees, premises, and assets safe is crucial. As a busy business owner, managing your access control can be a time-consuming task which requires constant surveillance, taking time away from making new deals and planning your business’s next big strategy.

As a business grows, managing access across multiple doors, staff roles, and external visitors becomes harder. What once worked for a single office often breaks down as teams expand, locations increase, and security risks rise.

Why access control scalability matters

As your business grows, whether it’s expanding to other locations or making your existing one bigger, your security needs to be up to scratch. When your business’s premises are small, access control concerns are often minimal, as there are fewer opportunities for thieves and trespassers to infiltrate. When your access points increase, so does the risk of authorised entries.

Benefits of access control for expanding businesses

When selecting the ideal access control system for your expanding business, there are several key features to consider to ensure your system remains effective as your business and requirements evolve.

Single-point access control management across multiple sites

When you have multiple premises, you might have multiple systems and dashboards. This makes managing access control difficult and inefficient, particularly when more locations are added, resulting in multiple different apps and dashboards for each site.

Modern cloud-based access control systems combine your site management into a single, comprehensive dashboard you can access from any device at any time. This single-point management system makes it easy to monitor and survey all your locations at the same time.

Integrations with your existing systems

Does your business have existing systems for different areas of your business? Expanding your business shouldn’t mean you have to take on the management of another system with a new interface and dashboard.

Having an access control system with the right integration capabilities means your existing systems can be consolidated into a single place, without the need to migrate or remove them, which can be costly and time-consuming.

Our secure, cloud-based platform, OLS Connect, works with trusted partners to provide integrated access control. This system enhances security and system management for businesses with multiple sites.

Scaling access control as you add entry points

As your physical access control needs expand, your system should be able to expand with them.

When adding doors, locks, and other physical access control points to your business, it is essential for your system to onboard them quickly and easily.

An effective access control system should enable the management of new physical access points to seamlessly integrate with your existing ones without any downtime or disruption. Your doors and barriers are the first line of defence against intruders, so ensuring that they are always operational and responsive is crucial for maintaining the security of your premises.

Managing large-scale access changes across multiple locations

Communicating a single message across multiple sites simultaneously is difficult. When you make a change to your access control system, you want to make sure the new rule is executed the same way across all your access control points.

The right access control system should allow for quick and easy management. On a single cloud-based dashboard, your change should be communicated instantly to all the needed areas, negating the need to repeat the process across multiple sites or systems. This saves time and prevents different systems from misunderstanding access rules. This helps ensure that access control is effective and consistent across all your locations.

If you need to add many new users at the same time, your system should allow for easy mass uploads of these users and their permissions. This should happen with minimal downtime so that their permissions become active as quickly as possible.

Visitor management and role-based access control

For large businesses, setting permissions for each employee individually is impossible and leaves an opportunity for inconsistent access across various roles.

Role-based access control removes this issue; an effective access control system can assign a predetermined set of permissions to an individual based on their assigned job title or role within the business.

For external visitors, access control systems allow for temporary digital passes to be created and distributed prior to their visit. Credentials can be used on their mobile device, giving them restricted access to your premises, and automatically expire after their allotted time. These time-based passes help to streamline processes like deliveries and meetings, saving valuable time whilst ensuring security.

Remote support from anywhere

In the event your access control goes wrong, traditional on-site systems require costly and time-consuming on-site support. This could leave your premises vulnerable while you wait for a technician to arrive.

Cloud-based access control systems offer quick support because you can reach a technician anytime, from anywhere, to ask questions or fix issues. These systems also receive automatic security updates, keeping your system secure without needing any in-person intervention.

Minimise disruptions

In any organisation, it’s important to minimise disruptions to keep productivity high and operations running smoothly. An effective access control system supports your business’s operations, reducing security risks and allowing staff to focus on their core responsibilities rather than managing security concerns.

Identify threats before they happen

A strong access control system can warn you about potential risks before they occur.

Cloud-based access control systems allow for real-time reporting and live monitoring of occupancy and fire muster reporting, helping you keep track of who is at your premises and where. This ensures that you are aware of any security issues right away and can respond quickly to incidents at all locations.

OLS works with growing businesses like yours to design and implement scalable, cloud-based access control tailored to their needs.

As a business owner, it’s your job to make sure every area of your premises is safe and secure. To be successful, both your business processes and staff need to function safely to prevent setbacks.

As access control experts, OLS understands the importance of business safety and the possible risks that can appear from poor practices. A breach in your premises can result in lost assets, safety hazards, revenue loss, and more. Because of this, mitigating common security risks is vital.

Here are the most common business access security risks, and how to prevent them.

Key Loss

How do you get through a locked door? With a key, of course. However, keys are prone to getting lost, creating a potential security risk should an unauthorised individual pick them up. If someone copies your keys, they can easily compromise your entire premises if you use the same locks on multiple doors.

Key loss can be costly, not just in replacing the key itself, but also the locks which become compromised. Staff can also share keys, allowing them to access different areas of the building without authorisation. Once staff no longer need the keys, it can be difficult to get them back, as you must depend on them to return them. Luckily, access control can provide key alternatives that are cost-effective and business efficient.

Alternative door systems like mobile credentials and fobs, prevent the risk of unauthorised access, as access can be revoked from the device remotely should it become lost or compromised. Biometric systems can take this a step further, removing this risk completely since they don’t need an extra device.

Trespassing and Area Control

Making sure staff only access the areas they need to help to prevent accidents and opportunities for intruders. Trespassing can be a real issue for many premises, especially those with high-value assets. In buildings with large numbers of staff and visitors, it can be difficult to control foot traffic to specific areas, placing both assets and individuals at risk.

Especially in large capacity premises, the risk of tailgating is high. Tailgating is when an unauthorised individual gains access to a premises by coming through an entry directly behind a staff member. Think of when you hold a door open for someone you don’t know, you could be allowing them into an area where they aren’t allowed.

Physical access control systems for offices:

Door access control systems

Mobile credential access control

Visitor management access control

IP CCTV / VSS

Proper security and access control, like CCTV controlled entry systems, help to stop trespassers. In the event an individual tries to get somewhere they’re not meant to, your system can stop them in their tracks and record evidence for further investigation. To prevent accidental trespassing by visitors, contractors, or cleaners, access control can be used to create temporary passes for the duration of their visit. This helps not only to prevent damage to assets or the premises but also keeps visitors safe from potentially hazardous areas.

Liability and Duty of Care

In addition to protecting your staff and visitors from accessing areas they shouldn’t, proper security is important for keeping them safe in the event of an emergency.

Staff management control systems:

HR system integrations

Time and attendance system integrations

When an emergency occurs on your premises, it is your responsibility as the site manager to ensure procedures are followed and everyone exits safely. Knowing where your visitors and staff members are at any one time can be difficult, even without the added pressure of an emergency.

Access control can help to keep track of everyone’s whereabouts, showing you in real time if they are in the building or not. Not only does this help with emergencies, but it also makes incident reports much easier.

Reputational and Financial Risks

Your premises security is a reflection of your business. Poor security controls can give an unprofessional or outdated image to clients and customers and may compromise their trust in your company. If your business seems insecure, it can appear that you don’t care. This may cause you to lose clients and make your business a target for burglars or trespassers.

Poor access control can also impact your business’s ability to pass security audits or compliance checks. Weak or improperly enforced security measures increase breach risks, leading to potential violations and monetary fines in worst-case scenarios.

In addition to potential financial losses due to fines, businesses which rely on attendee subscriptions could lose out on revenue from unpaid entry. In businesses like gyms or leisure centres, users pay for services within the facility. Without a subscription, the business can lose revenue from unauthorised entries.

Proper security systems and access control mitigate non-paying users. Restrictions can be automatically placed on users based on billing status, preventing access for members with overdue payments or expired memberships, mitigating lost revenue.

Running a business involves keeping its physical and digital property safe while ensuring easy access. Both offline and online, thieves are becoming smarter. Protecting your business with secure access control helps to protect your business’ premises and data.

Here at OLS, we know that not everyone is an access control expert. Trying to understand digital jargon can be an unwanted burden for business owners. So, we’ve made a solution.

Our jargon-free guide to access control explains what these complex terms mean and how they are important to your business’s security.

Access Control

Access control refers to the process of allowing or denying admission to something. These could be physical or digital barriers that require a key, code, or other identifier to grant access to somewhere.

Example: A locked door to an office is a form of access control, which denies access to the files and computers within the room to those who don’t have the right key. Thankfully, our access control solutions are much more advanced than a basic lock and key!

Learn more about access control in our knowledge base article:

What is cloud-based access control?

Cloud-based

Instead of keeping sensitive information on your device or on paper, you can store it in the cloud. The cloud lets you access this data from any location, at any time, and on any device.

When something is cloud-based, a remote server stores it instead of one device or system. Using the cloud to store your data helps protect it. If a device is lost or damaged, your information remains safe and accessible.

Example: You can access your email on both your computer and phone. If you log in on another device, you can still view your emails from wherever you are.

Serverless

Serverless means that the cloud stores the system managing your access control, as explained above. Instead of a server in your building that needs looking after, serverless access control keeps your data safe somewhere else.

A serverless system is beneficial as there’s no maintenance required, it is a secure platform that is consistently updated, and it is accessible from anywhere at any time.

Example: A fingerprint scanner reads your fingerprint to identify you. It then sends a request to the cloud server via an API (more on these later!) to verify if you are allowed entry. If you are authorised, it grants you access.

Credentials

Credentials are the unique bits of data that tell a system who you are. Your name, job title, picture, and more can be used to build a personal digital profile. Your credentials are unique to you, and various elements can be used to determine what areas of your business’s premises and digital assets you can access.

Your fingerprint, passcode, key fob, and other credentials can be linked to your profile. When an access control system meets a set of credentials at a doorway or login page, it matches them to a profile to identify the person requesting access. Then, based on the access level assigned to that profile, the system will either grant or deny access.

Example: When you enter an office building for a meeting, you might be asked by receptionist to provide a visitor pass or ID. Here, the receptionist acts as access control, verifying the credentials against their system to make sure you are who you say you are.

Integration / APIs

Integration is how something works alongside or within something else. For access control, you can add facial recognition to a turnstile to provide an extra level of security and ease of use. Integration often works by ‘adding in’ to a preexisting system to improve it.

To make upgrading your access control system as simple as possible, OLS offer our own bespoke integration platform, OLS Connect. This integration platform has been created in collaboration with trusted partners to connect areas of a business’s access control into single, easy-to-use platform.

Imagine you have one computer program that tracks who is at work, and another that controls who can open the building doors. OLS Connect can join these together, so both programs work like one team. Now, you don’t have to buy new programs, your old ones just work better together.

API stands for application programming interface, which works as a communicator between two systems. Integrations often use APIs to help two systems exchange information. APIs take a request from one system, take it to the other, then retrieves the answer and return it to the first system so the action can be completed.

Example: When ordering at a restaurant, you tell your waiter, who then tells the kitchen, and brings back your meal. In this instance, the waiter is the API communicating and retrieving the request between the two systems.

Multi-factor authentication (MFA)

You may have heard of the term ‘two-factor authentication’, which simply means two levels of authentication. When you try to log into an account, and the page requests your mother’s maiden name to verify your identity, this is two-factor authentication. Multi-factor authentication works the same way. Needing more than one way to prove who you are before you get access.

Multi-factor authentication helps to add another layer of protection to your business’s data. In the event your password is leaked, an MFA stops an authorised user from gaining access.

Example: Many banking apps offer multi-factor authentication by using your phone’s fingerprint scanner alongside your personal password to ensure only you can access your finances.

End-to-end encryption

Encryption is the process of scrambling information or data so it can only be read by the intended recipient. It’s like creating coded messages; only the person with the correct key can read the message.

In the context of access control, encryption plays a crucial role in protecting personal data. End-to-end encryption ensures that the data remains secure and cannot be tampered with. If someone who isn’t the recipient attempts to access it, the encryption makes the data scrambled and unreadable.

Example: When you lock a box and send it to someone who has the key, no one else can open it while it is being shipped. Only the person with the key can access what’s inside when they receive it. In this example, the box represents the encryption, and the key is the recipient’s device.

Role-based access control (RBAC)

Access control refers to the rules placed on who can view or interact with certain information and resources within a system. In this context, it means that the level of access you have is based on the specific role that has been assigned to you. This role is defined by your profile and your credentials.

By controlling access based on roles, companies can better manage security. RBACs ensure only authorised personnel have access to certain areas of data and premises.

Example: Only the surgeon is allowed to enter the operating theatre; the receptionist has no responsibilities in this area of the hospital and isn’t allowed to go in.

Mobile credentials

Your phone functions as a digital key, working like a fob or access card, allowing you to unlock various access points, such as doors or secure areas. This versatility means you can use your smartphone to gain entry without needing multiple physical keys.

Additionally, the system enables remote management of access, meaning you can easily grant or revoke permissions for others. This enhances convenience and security, making it easier to monitor and control who has access to specific areas.

Example: Your phone might let you into your office building and your gym. If you cancel your gym membership, your gym can revoke access instantly, without you needing to return a fob or key.

Remote management

Remote management is the ability to control and monitor systems, devices, or operations from anywhere. It allows users to manage access control, oversee real-time data, and respond to issues without being physically present. This makes remote management especially useful in IT, security, and facility management. Remote management also improves convenience and security by simplifying everything into a single system.

Example: If a staff member needs to access a building after hours, the manager can grant access remotely without having to travel to the site.

Multi-site management

For businesses with multiple premises, being able to know who is where and when is vital to operations. Multi-site management in access control is the control of different physical sites’ permissions from one system. Instead of using a different system for each location, multi-site management combines these controls in one place. This way, you can easily and efficiently apply a user’s permissions across all sites in one click.

Example: You have a membership to a gym with multiple sites. When you enter one of these gyms, the multi-site management system identifies your profile, recognises your membership as applicable to all gym locations, and grants you access.

As cloud access control continues to grow in popularity, with more businesses making the switch than ever before, we felt now is the right time to clear up some common misconceptions about the technology.

From file to storage to HR processes, cloud technology has revolutionised the way businesses operate, and access control is no different. Where previously access control was clunky, expensive and difficult to maintain, cloud access control streamlines all of the processes and reduces overheads for businesses.

Let’s dive into some of the misconceptions.

Myth #1 – Cloud Access Control Isn’t Secure

When people don’t have a full understanding of how cloud systems work, it can lead them to think that ‘data in the cloud’ is vulnerable and can be accessed by anyone.

In reality this couldn’t be further from the truth. The data that is used in cloud technology has protection in place such as:

End-to-end encryption of credentials and logs.

Regular security updates.

Data is stored in ISO-certified data centres.

Multi factor authentication and role-based admin controls.

All of these elements mean that instead of being vulnerable, cloud access control actually enhances security within your business, as well as reducing the risk of human error, or system failures from outdated hardware.

Myth #2 – You Lose Control When It’s In The Cloud

Another common myth is that the data is out of your hands when it’s stored in the cloud. However again, once you start to use the technology, you’ll find it’s actually the opposite and administrators gain more control.

This is because when you use cloud access control technology, you’re able to access the system from wherever you are via a secure dashboard, you’re able to monitor your buildings in real-time and have one centralised management platform no matter how many sites you have.

All this means that there’s no moving back and forth between sites to change or update permissions, everything can be done securely and efficiently from one screen.

Myth #3 – Cloud Access Control Is Expensive

Because cloud access control is an emerging technology, it’s seen as the expensive option over traditional on-site access control.

When you break down the ongoing costs of both, cloud access control quickly becomes the more attractive prospect for most businesses looking to futureproof themselves.

Choosing access control means you benefit from:

No expensive hardware costs.

No hardware maintenance costs.

No emergency repair costs.

No security risks from having on-premise servers.

As well as the above, cloud access control gives unparalleled flexibility, meaning you’ll only be paying for what you need, when you need it.

Myth #4 – Cloud Systems Are Complicated To Set Up

Cloud access control systems can be simple and stress-free to set up when you choose the right partner (like OLS). With remote onboarding, minimal cabling and no hardware installation needed, the process for our clients is smooth and efficient.

We provide full installation support and system training for the team, so your business is able to adapt to the new environment as quickly as possible.

We’re also able to integrate with new or existing management systems you have in place, via our very own OLS Connect.

Myth #5 – Cloud Access Control Doesn’t Work Offline

When someone hears the word ‘cloud’, they automatically start to worry about what happens if their internet drops – Are they unable to access their doors? Will the building go on lockdown?

The short answer is no. Cloud systems sync with local devices, doors and access systems remain operational even if internet goes down.

The system uploads logs and updates automatically when connection resumes, so you’ll experience no issues with building entry or exit for staff and visitors.

Conclusion

Wrapping things up, we hope this article has given you a clearer understanding of cloud access control, busted some of the common myths and helped you see how it can benefit your businesses security and process.

Security is a key part of how a warehouse operates. Warehouses often store valuable stock and assets in one location, making them potential targets for theft or damage. Because of this, it’s essential to have effective systems in place to protect both the goods and the staff working on site.

For site managers, access control systems offer a reliable way to monitor and manage who enters and exits the premises. Traditional methods like padlocks no longer provide enough protection. Thanks to advancements in technology, modern access control systems have become more secure and easier to manage. These systems not only increase safety but also help improve daily workflows.

In our guide, we’ll go through the different access control options for warehouses, their benefits, and how to best manage your system.

Benefits of access control

Protecting valuable assets

Warehouses are designed to store and move goods securely and efficiently. When items are stolen or damaged, it can result in major financial losses. Access control systems help by controlling who can enter the site, when, and why. Devices such as CCTV/VSS cameras, electronic locks, and physical barriers help deter unauthorised entry and reduce the risk of theft or damage.

Streamline activities

Like many businesses, warehouses benefit from being able to work quickly. Access control systems allow approved personnel to move through secure areas quickly without needing others to open doors or gates manually. Vehicles like trucks and forklifts can be granted access through automatic number plate recognition systems, which scan registration plates and allow entry. These tools reduce delays, speed up operations, and ultimately save time and money.

Create a safer workspace

Modern access systems can identify risks before they become serious. If an emergency such as a fire occurs, access control systems can automatically unlock all doors, allowing staff to exit quickly and safely. CCTV systems provide live video feeds, which can help emergency teams see who is still inside the building and where they are. This improves emergency response and increases the safety of all personnel.

Reduce contamination

In facilities that handle sensitive goods like food or medicine, cleanliness is critical. Touching locks or handles can spread germs. Hands-free access systems, such as facial recognition scanners, allow doors to open automatically without any physical contact. This reduces the chance of contamination and supports better hygiene across the warehouse.

Track visitors

Warehouses often receive a high number of visitors, from contractors to delivery drivers. Access control systems track who arrives, when they arrive, and where they go within the building. Temporary access passes can be sent ahead of time and set to expire after the visit. This keeps the site secure and ensures that visitors only go to the areas needed for their visit.

Scalable for growth

As your business grows or changes, your access control system can grow too. Whether you’re moving to a larger site or adding new departments, your system can be adjusted to include more doors, new user groups, or updated features. This flexibility allows your security to adapt to changes in your environment.

As security needs change with new technology or guidelines, your systems can also add the latest features. New features can help enhance security without needing major changes to the current systems.

Types of access control for warehouses

Role based access control

Role-based access control sets user permissions based on their job title or role. For example, a warehouse operative needs warehouse access, but an office worker does not, so their access to this area would be automatically restricted. Role-based permissions help to prevent untrained personnel from accessing areas they shouldn’t, limiting the risk of accidents and damage.

Rule-based access control

Here, access is controlled by rules like time of day or scheduled shifts. For example, a worker scheduled to start at 7 am will only be allowed entry during their shift. This system helps with security and can also support payroll accuracy by tracking attendance and working hours.

Discretionary access control

With discretionary control, someone who has access can give it to others. For example, a supervisor might use their card to let a contractor inside. While this method can be useful in small teams, it’s less secure for large warehouses where access needs to be tightly controlled.

Mandatory access control

This is the most secure kind of access control. It follows strict rules set by administrators. Only the system admins can grant or change access, and users cannot share access with others. This makes it perfect for high-security areas and large sites with strict safety needs.

Types of access control equipment for warehouses

Key FOBs and Cards

Workers use fobs or ID cards to unlock doors. These tools are simple and support different levels of access. However, there is a risk of losing cards or someone sharing them, which can lower security if not tracked closely.

Mobile credentials

Employees can use their smartphones to gain access. These systems often rely on fingerprint or face recognition for added safety. Mobile access is convenient, reduces the need for cards, and allows real-time updates and tracking.

Automatic number plate recognition (ANPR)

Automatic number plate recognition (ANPR) or Card Plate Recognition (CPR) systems enhance vehicle access management for warehouse parking.

By allowing entry only for pre-registered vehicles, warehouse operators can ensure that parking is reserved for authorised personnel and delivery vehicles, reducing unauthorised use. These systems also feature intercom functionality for visitor management and simplify registration updates, making them customizable to meet the warehouse’s needs.

Biometrics

Biometric access control systems, such as facial recognition and fingerprint scanning, improve warehouse security by verifying workers through their unique physical features.

These systems are great for warehouses that operate all day and night and need strong protection. Biometric access removes the need for cards and makes it harder for unauthorised users to get in.

CCTV/VSS Systems

Surveillance cameras are a vital part of warehouse security. They deter crime, monitor activity, and support safety. Managers can use recorded footage to review incidents or check whether health and safety rules are being followed. CCTV also helps resolve disputes and provides evidence when needed.

Servicing your access control

To keep your access control system working properly, service it at least once a year. Look for damage, test all locks, and check door responses. Talk to your system provider about updating the software or firmware. Make sure your network is working well, as delays can slow down or disrupt the system.

Ask your team for feedback on how the system works day-to-day. They may have ideas on how to improve it. As your staff or processes change, your access system might need updates too. Regular training helps everyone use the system correctly, which boosts security and reduces the risk of human error.

Keeping your access control system updated and in good condition ensures that your warehouse stays secure, efficient, and ready for growth.

Choosing to upgrade your access control system? Or adding a brand new one to your premises? Our clear step-by-step guide explains the entire installation process in 7 simple steps:

Choosing Your Supplier

Discuss Your Access Control Needs

Create a Plan for Your Site

Installation Day

Testing the Systems

Completion, Handover and Training

Ongoing Service and Maintenance

Before You Begin

Before getting quotes for your access control, work out what your business really needs from the system. This not only makes the process smoother but can also help you avoid paying for features you don’t need.

Think about how your premises are used and how an access control system will help. These systems affect how people enter and exit your building. Some users may need access to all areas, while others may need limited access. Knowing what permissions your users will need will help you choose the right system and setup.

Ask yourself these questions:

Who will use the system most?

Will user permissions need to change often?

Will the system protect assets, data, or both?

Adding to an Existing System

If you’re upgrading, clearly describe what your current system does and how it works to your installer. Adding new features to your existing system might affect your options or how well they work with what you already have.

Creating a System From Scratch

Starting fresh gives you the most flexibility for your access control system. It lets you pick the tools and features that match your needs best, without restrictions. A new system is also easier to update later, so it can grow with your business should your needs change.

Basic Types of Access Control

There are a few main types of access control, each offering different levels of security and flexibility. To get an idea of what you might need, consider the following access control types:

Discretionary Access Control

The owner or manager of the system decides who can access certain areas. It’s flexible and easy to manage but may be less secure in larger settings.

Role-Based Access Control

A role-based system gives access based on job roles. For example, only staff in HR might access employee records. It’s great for larger businesses with clear staff roles.

Rule-Based Access Control

This type uses preset rules, like access being allowed only during working hours.

Each of these systems can be tailored to your needs. Your installer can help decide which one is best for your premises and how it can be managed.

Step 1. Choosing Your Supplier

Picking the right installer is important. A good installer will understand your needs, avoid unnecessary upgrades, and make the job easier.

Choose a trusted installer. Check their reviews and case studies. Look at the feedback from similar businesses. If anything seems off during your research, it’s better to move on and find another option.

Step 2. Discuss Your Access Control Needs

Once you’ve chosen an installer, talk to them about what you need. They’ll suggest the best setup for your premises and how to install it with minimal disruption.

Start with a call. Share what your site is used for, what you need the system to do, and why you’re installing it. Based on that, your installer will put together a tailored specification which is right for your needs and budget.

Step 3. Create a Plan for Your Site

After agreeing on the system, your installer will plan the installation. They’ll ask for a site map so they can mark out where alarms, wires, and current systems are. This also shows where the new parts will go. Any physical elements like CCTV or access doors will also be marked on the map to ensure they’re installed in the right place.

If you are upgrading, your installer may want access to the current setup. This helps them see what can be kept and what needs replacing. They might also need a list of users and groups to transfer to the new system. If they installed the current system, they might already have this info.

Step 4. Installation Day

Once everything is set, you’ll pick an installation date. Your installer will let you know what needs preparing. Usually, all your installer will need access to is power, they’ll handle the rest.

Step 5. Testing the Systems

After the system is installed, your installer will set up the online tools. This may happen at your site or their office. They’ll test everything during setup to make sure it works before handing it over to you.

Step 6. Completion, Handover and Training

When your system is ready, an engineer will visit your site. They’ll show you how it works and answer any questions. If you need more help, many installers like OLS have expert tech support to offer further training.

Step 7. Ongoing Service and Maintenance

Once your system is running, regular preventative maintenance keeps it secure and working properly. Ongoing checks help it meet safety and reporting standards and identify any potential issues. Based on your setup, your installer may recommend routine planned visits. These usually include updates, system reviews, and full checks.

OLS Service and Maintenance

OLS offers two types of service and maintenance packages: Cloud Only and Standard.

Cloud Only Service and Maintenance

This includes cloud support, online help, and access to our ticketing system. It also provides regular software and firmware updates. Site visits or extra parts are charged separately. This package doesn’t include a Service Level Agreement (SLA).

Standard Service and Maintenance

This includes more hands-on support, like callouts and yearly checks. It also covers on-site labour and hardware replacements (excluding vandalism damage). You’ll have full access to tech support and system updates.

Both packages include expert support to keep your system working efficiently and ready for future needs.

What is a gym access control system?

Gym access control refers to the security and management systems in place which restrict and allow individuals into the premises. In its simplest form, a mechanical lock can be considered a form of access control, as only those with the right key can bypass the lock. Modern gym security systems take this a few steps further, enhancing security features to serve as a first line of defence against unauthorised entry and ensuring the safety of both the individuals and the assets on your premises.

For gym owners, implementing the right access control system isn’t just about security- it’s about creating a seamless experience for members while protecting valuable equipment, while ensuring only paying members can use your services.

Modern gym access control systems have evolved significantly from simple lock-and-key methods. In many gyms, sophisticated digital solutions have been integrated with gym management software, streamlining both customer experience and staff management of the facility, all critical components for running a successful fitness business in today’s competitive market.

Overall, comprehensive access control systems are a vital tool for gyms aiming to enhance security, reduce costs, and deliver superior member service, making them a worthwhile investment for modern fitness facilities.

Types of gym access control systems

Card / key FOBs

Card and key FOBs are among the most common door entry systems found within gyms, granting entry via pre-configured access credentials linked to physical cards or key fobs. These gym entry systems support multiple security features, enabling different levels of access tailored to various membership packages within a gym membership card system and mitigating the need for staff to allow customers entry.

Ideal for 24/7 gym access, gym key FOB systems often include intercom functionality for added communication convenience. Cost-effective and easy to integrate with existing gym access control software, card and FOB systems offer real-time logs and reports, boosting physical security and helping to automate day-to-day operations. Gym owners can remotely manage access, customise permissions, and scale the system to accommodate growing numbers of gym members.

However, these gym access control solutions have some drawbacks: gym members may share their access credentials, leading to potential revenue loss. Additionally, physical cards and key fobs can be lost or stolen, incurring replacement costs and posing security risks. Fortunately, mobile phones offer several advantages over traditional cards or key FOBs for gym access control systems.

Mobile access control

Mobile access control systems enable gym members to gain entry using credentials stored securely on their mobile devices. Phones provide existing enhanced security features such as biometric authentication (fingerprint or facial recognition) and encrypted credential storage, significantly reducing the risk of unauthorised facility access. Unlike physical key fobs that can be lost, stolen, or easily shared, mobile access credentials are stored securely on the user’s device and often require user verification before granting entry.

These modern access control solutions support multiple security levels and integrate seamlessly with gym management software and membership packages. Perfect for 24/7 gym access, mobile access systems offer real-time logging and reporting to enhance safety and allow gym staff to manage facility access remotely. This flexibility, combined with the convenience of always having a smartphone on hand, makes mobile access a superior and more reliable solution for controlling entry to fitness facilities.

CCTV camera systems

CCTV camera systems complement gym access control by providing continuous monitoring and recording of gym entry points and facility areas. These systems buffer video, alarm, and event data, offering valuable insights into gym usage patterns and security incidents. CCTV is a cost-effective physical security feature that can be remotely managed, providing gym owners and customers with enhanced peace of mind.

Turnstiles and security pods

Turnstiles, or security pods, act as physical barriers integrated with gym key card systems or key fob systems to control and monitor gym access. They can efficiently manage entry during peak hours and support different membership levels with features such as pass back prevention, which stops the same access credential from admitting multiple users via a single entry request. Turnstiles are low maintenance, cost-effective, and prevent tailgating, ensuring secure entry. Like many access control systems, turnstiles allow for real-time access logs and can be controlled remotely, improving the gym’s security and operational efficiency.

Facial recognition access

Facial recognition access systems represent an advanced gym access control system that verifies members by their unique facial features, removing risks linked to lost or stolen physical credentials and further streamlining access. Similar to how mobile and key fob access control systems support multiple security levels for individuals, biometric systems also enable multi-level access control, making them an excellent choice for gyms operating 24/7.

Facial recognition technology offers real-time monitoring and reporting, remote management capabilities, and a convenient access solution that prevents unauthorised entry without the need for a physical entry device.

ANPR/CPR access

Where the above solutions seek to enhance and facilitate access to the building itself, automatic Number Plate Recognition (ANPR) or Card Plate Recognition (CPR) systems help to enhance the management of vehicle access to gym parking.

By allowing entry only to pre-registered cars, gym owners can ensure that parking spaces are reserved exclusively for gym members and authorised visitors, mitigating use by non-paying patrons.

Additionally, these systems often include intercom functionality for visitor management and simplify registration updates, making them customisable and scalable to meet the evolving needs of the facility.

What to consider when choosing the right access control solution

Selecting the ideal access control system for your gym involves careful consideration of several key factors to ensure it aligns with your facility’s unique needs and goals. Here are the main aspects gym owners should evaluate.

Cost and budget considerations

Evaluate both upfront costs and ongoing expenses, such as installation, maintenance, and software subscriptions, when selecting a gym access control system. While advanced solutions like biometric or mobile access systems may require higher initial investment, they often deliver long-term savings by lowering staffing needs and reducing physical credential replacements. Opting for a scalable gym access control system ensures your investment grows with your membership base and evolving business needs.

Membership safety and security

Prioritising the safety of gym members means choosing an access control system that restricts entry to only authorised users. Gym owners need to regularly assess the effectiveness of their current security measures to identify any vulnerabilities or gaps. Evaluating how well existing systems prevent unauthorised access and protect valuable assets helps determine where improvements are necessary.

Access control solutions can play a critical role in strengthening security by providing more precise control over who enters the facility, monitoring access in real time, and integrating with other security technologies. By pinpointing areas where access control can enhance protection, gym owners can make informed decisions to upgrade their security infrastructure and ensure a safer environment for members and staff.

Streamlining staff management

An automated gym access control system optimises staff operations by handling routine tasks like member check-ins and access monitoring. This automation frees gym staff to focus on delivering personalised member services rather than manual entry management. Additionally, detailed reporting and analytics support efficient scheduling, security oversight, and resource allocation, improving overall gym management.

Scalability and futureproofing

Select a gym access control system designed to scale with your fitness center’s growth and adapt to evolving technology trends.

Video surveillance is one of the most popular forms of security for businesses that need to monitor who is on their premises and when. Enabling business site managers to oversee multiple areas of their premises at once, CCTV footage is one of the most versatile and useful forms of access control available.

As demands increase for more robust CCTV systems, many existing video surveillance systems are becoming obsolete, unable to keep up with the needs of its users. Luckily, modern advancements in cloud solutions mean VSS / CCTV cameras no longer need to be limited by their hardware capabilities, allowing businesses to further utilise their video surveillance without completely replacing their existing systems.

How can cloud-based data storage improve security systems?

Unlike traditional video data storage systems, cloud-based solutions allow administrators to access, monitor and edit information all from one centralised system, using any internet-enabled device. Where hardware solutions offer limited storage and rely on accessing data at the place where the server is kept, cloud-based services can be scaled to suit your current needs and offer a wide range of additional benefits to streamline and simplify your business’s access control needs.

Why migrate CCTV to the cloud:

Remote access to footage

In many traditional VSS data systems, the video data is stored on the device’s hard drive, either physically on the device itself or wired to an on-premises server. This setup makes managing footage challenging, as it requires staff to be present on-site whenever monitoring or retrieving footage is necessary. Cloud-based data storage eliminates this issue.

By consolidating the monitoring, management, and editing of footage into a single online dashboard, a cloud system allows users to access footage from multiple locations anywhere in the world using an internet-enabled device. Furthermore, cloud migration enhances security by eliminating single points of failure. In traditional systems, if the server fails, it can be impossible to retrieve video data, with cloud storage, data is replicated across multiple servers, ensuring continuous availability and reliability. Additionally, real-time monitoring and management are facilitated without the need for multiple security personnel on the premises, reducing staffing needs and costs.

Video storage

As mentioned, traditional video surveillance management systems often store footage directly on their device or transfer it to an on-site server. This method, which limits video storage to a physical hard drive rather than utilising a cloud-based solution, can result in restricted data capacity. Users may find themselves needing to manually delete older footage to make room for newer recordings.

While hard drive storage has been a common solution, it has become outdated and often struggles to meet the high data storage demands of modern access control systems. On the other hand, cloud-based storage offers significantly larger data transfer and storage capacities, eliminating the need to constantly delete old footage. Cloud-based systems also can be configured with a range of helpful features, such as limited timeframes for storage, and automatically deleting out-of-date footage. This allows footage to be automatically deleted after a specified period—whether days, months, or years—reducing unnecessary storage and any additional costs that may come with it.

Additionally, these systems can be configured to only store video anomalies, ensuring only relevant video data is saved, further minimising wasted data storage. By focusing on critical events, users can further optimise their storage and ensure that they retain only the most important video data, streamlining security monitoring and reducing wasted time combing through footage for certain events.

Legal benefits

One of the most important aspects of access control data collection and storage is ensuring your business is adhering to the necessary regulations and privacy laws. As we’ve explained, physical data storage is vulnerable to potential hardware failures and theft, and often doesn’t include the necessary data encryption measures to protect the video footage should it be stolen. By relying on manual management of your video footage, there are many opportunities for mistakes, where data is not deleted or protected correctly, potentially resulting in costly fines for improper data handling.

Cloud providers typically implement strong security measures, including encryption and regular security audits, to reduce the risk of data loss. Using online storage can help organisations comply with relevant GDPR and manage personal data more effectively, thereby minimising the chances of data loss due to unauthorised access.

Artificial intelligence (AI) capabilities

In recent years, the integration of AI in security systems has seen significant growth. Utilising a cloud-based approach, AI can implement various functions into your security systems, including facial recognition, timestamping, and alarm systems, all while minimising the need for constant human monitoring.

A prompt response is essential in the event of theft, break-ins, or hazards like fire to protect your business assets and ensure the safety of everyone on the premises. By incorporating AI into your CCTV data system, you can not only reduce losses and damages but also streamline the management of video data. AI can automatically analyse and categorise footage, ensuring that critical video evidence is quickly sent to a designated group of relevant people, such as site managers or the police. This capability saves valuable time in responding to urgent situations and helps prevent recorded footage from being lost during an incident.

Integrate cloud CCTV systems with existing security solutions

Integrating your cloud CCTV systems with other security solutions can significantly enhance the overall effectiveness of your security. Utilising cloud CCTV allows for seamless integration with other security systems such as gates and barriers, providing a unified platform for managing all aspects of security. This integration enables security personnel to access and monitor video surveillance systems alongside other security data, such as access logs and alarm notifications, from a single interface. The use of smart mobile apps and remote online tools further enhances remote access, allowing security teams to respond quickly to incidents without needing to be on-premises.

Additionally, integrating video analytics functionality with your video management system can offer deeper insights into your data and enhance incident detection. By utilising artificial intelligence for CCTV / VSS and incorporating it with other access control systems, businesses can achieve more sophisticated monitoring capabilities, such as facial recognition and behavioural analysis, to swiftly identify and manage potential threats before they escalate.

Scale your cloud storage to meet your needs

One of the most significant advantages of adopting a cloud CCTV system is the flexibility it offers in terms of storage capacity. Unlike traditional storage solutions which are often limited by physical hardware constraints, cloud storage can be easily scaled to accommodate your specific requirements. This scalability is particularly beneficial for businesses managing multiple sites or those experiencing growth, as it allows them to expand their storage capabilities without the need for additional hardware, which would incur additional costs.

With cloud storage, you can adjust your storage plan to match the volume of video data your CCTV systems generate, ensuring that you only pay for the storage you actually use at that moment. This cost-effective approach eliminates the need for excessive hardware purchases and maintenance, resulting in cost savings. Additionally, cloud storage solutions offer high video data storage capacities, allowing you to store large volumes of surveillance camera data without worrying about running out of space.

Moreover, cloud providers offer advanced video analytics capabilities that help you manage and organise your stored video data more efficiently. By leveraging these tools, you can prioritise relevant video data and optimise your storage usage, ensuring that your CCTV system remains effective and efficient without needing to swap out or upgrade hardware.

Save costs with cloud storage

When transitioning to cloud-based data storage, there are inevitable initial set-up costs, including potential service subscriptions and costs for future data volume expansion if needed. However, these upfront costs are outweighed by the significant long-term savings that cloud CCTV systems provide. Unlike physical data storage which requires holding and managing video data on-premises, cloud systems offer simpler scalability, without the need for constant hardware upgrades to continue the use of the system. This is particularly beneficial for businesses with multiple sites or plans for growth, with flexible options available, ensuring you only pay for how much data you need and the resources you are currently using.

Moreover, cloud-based systems have reduced maintenance costs, enhancing their cost-effectiveness. Traditional CCTV systems often require regular maintenance and investment in physical servers, which can be costly. In contrast, cloud CCTV data solutions are managed by the provider, reducing the burden and cost of in-house IT teams whilst maintaining optimal performance.

Overall, despite initial costs, the scalability, reduced maintenance, and lower storage expenses make cloud CCTV / VSS a highly cost-effective option for enhancing security infrastructure.

Biometric access control systems improve security by using personal features, like fingerprints, facial recognition, or iris scans, to create unique user profiles. These systems are easy to use and provide strong protection for your business and building.

Biometrics are now widely used in phones and other everyday devices, most commonly seen with Face ID. They’re also being added to offices and other facilities to improve security, stop unauthorised access, and track who enters certain areas. As security threats grow more advanced, biometrics offer a reliable way to protect people and property.

What Is Biometric Access Control?

Biometric access control (also called biometric authentication) means using data like a person’s fingerprint, face, or retina to create a profile. That profile is then used to decide if they can access specific areas, devices, or data.

Unlike traditional methods, like key cards, fobs, or PINs, biometric systems rely on your actual physical traits. This makes access safer and more personal.

Why Use Biometric Access Control?

Save On Cards and Fobs

Biometric systems remove the need for physical keys or cards. These items can be lost, stolen, or copied. Using a fingerprint or facial scan means there’s nothing to carry or replace.

This saves money over time. When someone new needs access, you don’t have to hand out or reset a card, you can update access instantly. It also saves time, since users don’t need to wait for replacements or manually reset devices.

Reduce Security Risks

Biometric data is very hard to fake or copy. Unlike a card or PIN, you can’t share or misplace it. That makes biometric access control more secure than older systems.

If someone tries to break in, a biometric reader can block them and take a photo of the attempt. This recording can help with follow-up. The system also acts as a clear warning to potential intruders, since it’s built to spot and reject unauthorised users.

Improve Convenience and Safety

Biometric access is faster and easier for users. You don’t need to carry a card or remember a code. A quick scan gets you in.

Every time someone enters, the system logs it. This helps you track who’s inside and supports better emergency planning and attendance tracking.

Types of Biometric Access Control

Different biometric systems offer different benefits. Fingerprint recognition works well in busy areas. Facial recognition is more user-friendly and doesn’t need any physical contact.

When choosing a system, think about your building layout and how secure each area needs to be. This helps match the right solution to your needs.

Need expert advice? Get in touch with our team to discuss the best option for you.

Facial Recognition

Facial recognition systems scan and map the shape and features of your face. They turn this data into a digital profile, or “blueprint.” When someone approaches the scanner, it checks if their face matches the saved blueprint. If it does, access is granted.

These systems need high-quality cameras that can capture details and depth. This helps ensure the scan is accurate and works quickly.

Fingerprint Access Control

Fingerprint access works in a similar way to facial recognition. The system scans your fingerprint and builds a digital template from it. It then compares your print to saved profiles to decide if you can enter.

This system is great for places like gyms, where it’s important to manage who comes in. It helps businesses stop people from sharing one profile, which saves money and helps track building use.

Biometric Security Devices

To run properly, biometric systems need the right equipment. Devices like fingerprint scanners and facial recognition cameras must be reliable, accurate, and secure.

If you use cheap or faulty devices, the system can fail or be hacked. That’s why it’s important to invest in quality gear and keep it well-maintained. This keeps your system running smoothly and reduces the chance of technical issues.

Multi-Factor Authentication

Biometric systems can work alongside your current security setup. You can combine them with gates, keypads, or ID cards for an extra layer of protection.

Modern systems are flexible, easy to integrate, and getting more affordable. They’re becoming a key part of today’s best security setups.
